ADMINISTRATIVE & EVENTS ASSISTANT


We're looking for an energetic, self-motivated Administrative & Events Assistant to support our fast-paced hospitality and food & wine programs.

This role blends administrative coordination, event logistics, and digital marketing — ideal for someone who thrives in a dynamic environment and loves variety in their day.


Key Responsibilities

Administration & Operations
  • Support daily administrative tasks and system organization behind the scenes.
  • Maintain event files, permits, contracts, and contact records.
  • Coordinate event staffing and communicate logistics clearly to all team members.
  • Work closely with the Chef to ensure smooth food delivery.
  • Liaise with suppliers to ensure seamless event execution.
Event Planning & Logistics
  • Assist with planning and executing food and wine events, private functions, corporate tastings, and large group bookings.
  • Manage RSVPs, transportation arrangements, hotel bookings, and vendor coordination.
  • Produce printed materials such as event menus, signage, and registration sheets.
  • Support offsite event logistics including wine shipping, travel and supplies.
Marketing & Social Media Support
  • Maintain and update content calendars; post across platforms like Instagram and Facebook.
  • Promote upcoming events through photos, social media, email and text campaigns.
  • Edit and print tasting room and event menus, signage, and branded materials.
  • Update and manage listings on third-party partner portals.
  • Assist with newsletters, email invitations, and online reservation tools.
  • Organize and maintain a digital photo library and marketing document archive

Ideal Candidate

  • Experience in hospitality, events, restaurants, catering, or food & beverage operations.
  • Highly organized, detail-oriented, and adaptable to changing priorities.
  • Strong communication skills with a guest-focused approach.
  • Comfortable using Google Workspace, spreadsheets, digital scheduling tools.
  • Proficient in Apple Mac environment and familiar with social media tools (e.g. Canva, Hootsuite).
Bonus Skills (Nice to Have)
  • Photography or content creation experience.
  • Basic graphic design or email marketing skills.
  • Familiarity with reservation systems like Tock, Resy, or OpenTable.
  • Wine and culinary knowledge.

Status: Full-time position; Office-based – Healdsburg.
