OP-Administration Assistant

Administrative Assistant responsibilities include making travel and meeting arrangements, preparing reports, maintaining appropriate filing systems and distributing information within the organization for senior management, staff and customers.

The position requires excellent oral and written communication skills and the ability to use tools, like MS Excel, MS Word, Gmail, GrapeGears and QuickBooks. This generally includes answering phones, taking memos and maintaining files with the following responsibilities:

    • 11-7 pm Saturday, Sunday, Monday -18 Matheson Tasting Room
    • 11 am to 2 pm Other weekdays - Spice Products
    • 3 pm to 7 pm Other weekdays - 18 Matheson Tasting Room

Develop and demonstrate proficiency in the following:
  • GrapeGears Calendar, POS, Order Processing, Reporting and CRM functionality.
  • WW Tasting Rooms to understand our wines, clubs and recipes.
  • Compliance and State Sales Tax Reporting.
  • QuickBooks, Expense Coding and Income/Expense Classes

The primary job of the Administrative Assistant is to work with and support Dawn with the following functions:
  • Work cooperatively with Administrative staff to ensure high customer service levels.
  • Handle administrative requests and queries from Dawn and Bill.
  • Organize and schedule staff work attendance within the GG Calendar.
  • Planning meeting appointments and manage Dawn's calendar.
  • Event preparation, set-up and attendance.
  • Extract requested report data from GrapeGears.
  • Assist the Financial Controller in organizing and coding expense input data.
